Job Description

The Administrative Manager oversees daily office operations, ensures administrative processes run smoothly, and supports organizational goals. This role involves managing administrative staff, streamlining workflows, maintaining office resources, and ensuring compliance with company policies and procedures. The Administrative Manager serves as a key point of contact for internal and external stakeholders, fostering an efficient and productive work environment.

Duties and Responsibilities
-Oversee the day-to-day operations of the office, ensuring all administrative functions are efficient and effective.
-Manage office supplies, equipment, and vendor relationships to ensure smooth operations.
-Develop and enforce office policies and procedures to maintain a productive workplace.
-Supervise, mentor, and evaluate administrative staff, including receptionists, office assistants, cleaners, drivers and other support roles.
-Delegate tasks and monitor performance to ensure timely completion of responsibilities.
-Foster a positive and collaborative work environment.
-Prepare and manage the department’s budget, ensuring cost-effective use of resources.
-Negotiate contracts with vendors and service providers to optimize spending.
-Monitor expenses and identify opportunities for cost-saving measures.
-Ensure compliance with company policies, legal regulations, and industry standards.
-Maintain and organize records, including contracts, employee files, and office documentation.
-Address workplace safety issues and coordinate with relevant departments to resolve concerns.
-Act as a liaison between the administration team and other departments to support organizational goals.
-Coordinate meetings, events, and travel arrangements for leadership and staff as needed.
-Assist in implementing organizational projects and initiatives.

Qualifications:
Education and Experience
-Bachelor’s degree in Business Administration or a related field.
-Experience in administrative management or a similar role.
-Proven experience in managing teams and office operations.

Skills and Competencies
-Strong organizational and multitasking skills.
-Excellent leadership and team management abilities.
-Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
-Exceptional communication and interpersonal skills.
-Problem-solving mindset with attention to detail.

Preferred Skills:
-Knowledge of financial and operational management.
-Experience with process improvement methodologies.
-Familiarity with project management tools and techniques.
